Privacy policy

Last updated 3 November 2026

This policy explains what personal information ICE X collects, why, who sees it and the rights you have under the Protection of Personal Information Act (POPIA).

Who we are

ICE X (Pty) Ltd (“ICE X”, “we”, “us”) distributes commercial kitchen equipment in Southern Africa through a national dealer network. We are the responsible party for the personal information collected through this website and the ICE X dealer portal, as defined in the Protection of Personal Information Act 4 of 2013 (POPIA).

Office: Northlands Retail Park, Randburg, Johannesburg, South Africa. Email: info@icex.co.za. Phone: 010 020 4743.

What we collect

We only collect what you give us or what is needed to run the site:

  • Enquiries and demo bookings: your name, company, email address, phone number, trading region, preferred demo date, your message, and the product or page you enquired from.
  • Dealer applications: company name, contact name, email, phone, trading region and what you tell us about your business.
  • Dealer portal accounts: your name, company, email address and password (stored only as a one-way hash, never in readable form), the quotes you build and send, and a record of significant account actions.
  • Emails and calls: what you send us when you contact us directly.
  • Technical information: our hosting provider processes your IP address and browser details to deliver pages and protect the site from abuse. Our site statistics are anonymous and aggregated: they use no cookies and do not identify you.

We do not collect special personal information (such as health or biometric data), and we do not need it.

Why we use it

  • To answer your enquiry, arrange a demo, and put you in touch with a dealer who can quote.
  • To review dealer applications, and to run dealer accounts, quotes and orders.
  • To send the emails a service needs: enquiry and quote confirmations, account approvals and password resets.
  • To provide installation, training, warranty, service and spare parts for equipment you buy.
  • To keep the site and portal secure, and to meet our legal and tax obligations.

Our lawful basis

We process personal information because you asked us to (for example by sending an enquiry), because it is needed to conclude or perform a contract with you or your company, because the law requires it, or because it serves our legitimate interest in running and protecting our business in a way you would reasonably expect. Where we rely on consent, you may withdraw it at any time.

Who we share it with

We do not sell or rent personal information. We share it only with:

  • ICE X dealers: ICE X sells through dealers, so when you ask about equipment we may pass your contact details and enquiry to an authorised dealer who serves your area, so that they can quote and support you.
  • Service providers (operators) who process information on our instructions and under confidentiality and security obligations: website hosting (Vercel), database hosting (Supabase), email delivery (Resend and Microsoft 365) and our inventory and accounting system (Zoho).
  • Authorities and advisers where the law requires it, or to protect our legal rights.

Information sent outside South Africa

Some of our service providers store or process information on servers outside South Africa, including in the European Union and the United States. We use providers that are bound by data-protection laws or agreements giving protection substantially similar to POPIA, as section 72 of the Act requires.

Cookies

The public website sets no cookies and uses no advertising or tracking cookies. The dealer portal and our staff admin area each set one essential cookie that keeps you signed in; it holds no personal information beyond a signed session reference and expires on its own. Our analytics are cookieless.

How long we keep it

We keep enquiries and correspondence for as long as needed to deal with them and any resulting sale, warranty or service, and dealer records for as long as the dealer relationship lasts. After that we keep information only as long as the law requires (for example tax and accounting records), then delete or de-identify it.

How we protect it

Information is sent over encrypted connections (HTTPS) and stored with access limited to ICE X staff who need it. Passwords are hashed, staff access is individually logged, and our forms are rate-limited against abuse. If a security compromise affects your personal information, we will notify you and the Information Regulator as POPIA requires.

Your rights

Under POPIA you may:

  • ask whether we hold personal information about you, and request a copy of it;
  • ask us to correct or update it, or to delete it where we no longer have a reason to keep it;
  • object to how we process it, including for direct marketing;
  • withdraw consent you have given; and
  • complain to the Information Regulator (South Africa) at inforeg.org.za.

To exercise any of these, email info@icex.co.za. We may ask you to confirm your identity first, and we will respond within a reasonable time. We will tell you if a request carries a fee before we act on it.

Marketing

We do not send marketing emails unless you have agreed to receive them or are an existing customer or dealer receiving news about similar products. Every marketing message lets you opt out, and you can also email us to stop them.

Children

This website is for businesses in the food-service industry and is not aimed at children.

Changes to this policy

We may update this policy as our services or the law change. The date at the top shows when it last changed; significant changes will be posted here.
